Viewing Bids in A/P

Use the Bids window to view purchase order bids that have not yet been converted into actual purchase orders.

To view a bid:

  1. From the A/P menu, select A/P Inquiry to display the A/P Inquiry window.

  2. Populate the window.

  3. From the Inquiries menu, select Open Bids to display the Sales Inquiry window.

  4. View all bids and their associated information for the customer specified on the A/P Inquiry window in the following fields:

Field

Description

Customer

The customer account name.

Product

The type of products the vendor deals in.

When you enter a product description in this field, the system lists only those transactions that contain the designated product.

Address

The company name and address.

Contact Information

The first three contacts listed for this customer in Customer Maintenance and their associated phone numbers.

Bid #

This field replaces the Order # field on the Purchase Inquiry window. It lists the transaction ID of the designated bid in numeric order.

Customer PO #

The internal purchase order number. The system lists open purchase orders by order number, with normal purchase orders followed by directs.

Branch

The pricing branch associated with the transaction.

Balance

The transaction balance of the bid.

Ship Date

The transaction's expected receive date displayed as a specific date or NOW.

Avail Date

The transaction available date displayed as a specific date or NOW.

Status

The status for bids will always be listed as B, indicating that this transaction is an open bid.

Ship Via

The transaction ship-via, as a designated on the Sales Order Entry Status window.

  1. Use the following functions as necessary to reorganize how the information is displayed:

display the Sales Order Status tab for the selected transaction, for sales order transactions only. You can arrange for delivery by changing the status.

File > Arrange Delivery

display the selected transaction in view-only mode

View > View Item

display the selected transaction in edit mode

View > Edit Item

display only those transactions that are credit transactions

File > Credits

  1. Save your changes and exit the window.
