Creating G/L Budgets

Use the G/L Budget Maintenance window to create and save a budget for a year's income in monthly increments for a given G/L account.

To create a G/L budget:

  1. From the G/L menu, select G/L Budgeting to display the G/L Budget Maintenance window.

  2. In the Account field, enter or select the account for which you want to define the budget.

  3. If the account you entered in the Account field is set up with subledger accounts, enter or select the subledger account in the SubLedger field for which you want to define a budget. A subledger account is not required.

If the G/L account is not setup for subledgers, the SubLedger field is disabled.

  1. In the Branch field, enter or select the branch for which you want the budget to apply.

The system populates the Year field with the current fiscal year. The fiscal year is the year in which the last month within the fiscal year occurred. For example, if your fiscal year runs from July 2005 to July 2006, the year displays as 2006. Enter a different fiscal year if necessary.

  1. Click Update to accept the current year or enter a different year and click Update.

  1. In the Budget column, create the budget using one of the following methods:

enter individual monthly budget amounts

enter a budget amount and press Enter for each month.

enter monthly budget amounts based on a total amount

in the Total Budget For field, enter a budget amount and press Enter. The system divides the amount equally over the 12 months in the Budget column.

  • If the amount is not equally divisible, December receives the excess amount.

  • If there were any amounts other than zero in the Budget column, the system divides the new Total Budget For amount over the 12 months according to the percentages that existed.

from the Edit menu, select Monthly Percentage to display the G/L Budget Percentages window. For information about how to create a budget using percentages, see Changing Percentages in G/L Budgets.

  1. Save your changes and exit the window.

More Options When Creating a G/L Account Budget

The following are some common options you might use when creating a G/L account budget:

The G/L Budget Copy dialog box displays.

delete the displayed budget.

display or hide the information in the Actual/Difference columns.

Edit > Balance Budget/Edit > G/L Budget or click the Balance Budget or G/L Budget buttons.

includes the budget amounts from all the subledger accounts i the main account's budget totals.

Note: This option is active only if you have subledgers defined for this account and are viewing the budget information for the main account.

Edit > Roll Up

display the GL Roll Down window, where you can determine what percent of the budget from the main account you want to allocate to the subledger accounts For more information, see Determining Subledger Budget Roll Down.
