Determining Subledger Budget Roll Down

Use the subledger budget roll down functionality to allocate funds from a general ledger account into subledger accounts. On the G/L Roll Down window, specify what subledger accounts you want your budget figures to prorate to, and determine what amounts to allocate to each subledger.

To determine subledger budget roll down:

  1. From the G/L menu, select G/L Budgeting to display the G/L Budget Maintenance screen.

  2. In the Account field, enter the account for which you want to allocate subledger budget amounts.

  3. In the Branch field, enter or select the branch for which you want the budget to apply.

The system populates the Year field with the current fiscal year. The fiscal year is the year in which the last month within the fiscal year occurred. For example, if your fiscal year runs from July 2005 to July 2006, the year displays as 2006. Enter a different fiscal year, if necessary.

  1. Click Update to accept the current year or enter a different year and click Update.

  2. From the Edit menu, select Roll Down display the GL Roll Down window.

  1. Do one of the following:

  1. In the Percentage column, enter the percentage of the budget amount from the main account that you want to allocate to the subledger account. The percentages you enter must add up to 100%.

The Total field reflects the sum of all subledger amounts.

  1. Save your changes and exit the window.

More Options When Using Subledger Roll Down

The following are some common options you might use when using subledger roll down:

To...

Select this menu option...

populates the SubledgerID column with any active subledger accounts tied to the main account

File > Get All

clear the Subledger ID column of all subledger accounts

File > Clear All

allocate an even percentage amount to each subledger listed

File > Even Allocation

When you select this option, the system calculates the amount based on the number of subledgers listed.

Note: The system applies any rounding that occurs because of percentages to the last subledger account.
