Committing Change Orders to Master Job Bids

You can enter change orders as bids only. If you create a change order from the Job Bid Tracking screen of a master job bid, you cannot commit the change order at that time, because the master job bid is open in the system. You must exit from the master job bid and call up the change order independent of the master job bid to commit it.

To commit a change order to a master job bid:

  1. Display the character-based system.

Note: The Master Job Bids functionality has not been incorporated into Solar Eclipse as of this release.

  1. Open the change order in Sales Order Entry.

  2. Add or remove products, as needed.

  3. Press Esc to display the Sales Order Entry Status screen.

  4. In the Order Status For field, enter C (Commit) to display the Change Order Description screen.

  5. Enter the reason for the change order in the area provided. You cannot exit this screen until you do so.

Note: The reason information displays on the Master Job Bid Progress Report as well as in the Change Order Reason field on the Job Maintenance screen.

  1. Press Esc. If some of the products on the master job bid were not spawned during the MJB entry process, the Line Item Auto-Spawn Assignment screen displays; otherwise, see step 9.

The system populates the T (Type) column for each product description with one of the following values:

spawn junior orders in bid mode

For each affected product, leave the Vendor Name field blank and leave the word Bid in the Task field.

Note: Spawning materials to bids makes it possible to ship from your stock or send using a direct order later in the project.

spawn junior orders from the change order

For each product, in the Vendor Name field, enter the vendor who will ship the product to the customer.

Note: When you press Esc, the system sends you a tracker that includes the order number for each junior order spawned. The system will create a separate junior order for each lot item, and one for all of the stock items, unless you already have a junior order for stock items, in which case, they will launch to the existing order.

exclude comments from junior orders

For each affected comment, in the Task field, enter No Launch.

Note: If you have Level 4 SOE.MASTER.BID.EDIT authorization, you can also enter No Launch for products.

  1. Press Esc to return to the Sales Order Entry Status screen.

The system generates a tracker to alert you to the junior order it created from the change order. If you have your system set up so that change order commitments flow to junior orders, any subsequent successful changes to the affected products will be reflected in the line items on this junior order, provided you are not trying to reduce previously invoiced products.

  1. Press Esc to commit the change order and return to the Sales Order Entry Body screen.
