If you need to make changes to the products, quantities, prices, costs, or other information about the products on your master job bid, you can change the master job bid, if you have authorization. However, when you do this, the system does not track your changes in the change log. For this reason, you may want to consider creating change orders.
Creating a change order is similar to creating a junior order from the Job Bid Tracking screen. You select the product to which to make changes and launch a change order. Once the system has created the change order, you can then change any information needed to update the master job bid to match the customer's needs. You can also add or remove products from the master job bid, if needed.
When you create a change order from within a master job bid, you cannot commit it to the master job bid until you exit from the master job bid from which you launched it. In order to affect line items that already exist on a master job bid, the change order line items must be linked to the master job bid line items you want to modify. The only way to create the change order line items with the proper links is by using the Job Bid Launch screen. All other non-linked line items on the change order will be treated as new line items.
When you commit the change order, the system updates the products and quantities on the master job bid. In addition, if any of those products have been launched to junior orders, the system adds the new quantities to or removes them from the junior orders. If you added quantities, the system will try to add them to a pre-existing open (non-invoiced, non-canceled) order generation. If it cannot find one, it will create a new bid generation on a pre-existing junior order. If you added new products, the system will try to add them to a pre-existing junior order, or will put them on a new junior order, based on the situation. If you subtracted quantities, the system will allow you to remove only quantities on open generations. You cannot subtract quantities on generations that have been invoiced. They must go through the standard return process.
You can review all change orders entered for the master job bid from the Change Job Bid Review screen. This screen shows the status of the change order, along with the date it was committed to the master job bid.
