Syncing PDW and Eclipse Product Files

Use the PDW/Eclipse Product File Sync Utility to connect records in the Product Data Warehouse (PDW) catalog with records in the Eclipse Product file. You can run the utility for a single price line or buy line, or for multiple price lines and buy lines.

Note: When passing data from the PDW/Eclipse Product File Sync Utility screen to an attached user-defined screen, the system will only pass IDs equal to ACTIVE. Contact Eclipse support personnel for more information on user-defined screens.

To sync PDW and Eclipse product files:

  1. From the Tools > Product Data Warehouse (PDW) >PDW Product File Sync > menu, select PDW Product File Sync Utility to display the PDW Sync Utility screen.

  1. ClosedUse the header fields to populate the Sync Utility:

    Price Line / Buy Lines

    In the drop-down box, select Price Line or Buy Line and do one of the following to run the Sync utility for one or more lines.

    For a single line, enter the price or buy line name for which to run the Sync utility. Use the Multi button to select the lines for which to run the Sync utility.

    Note: If you leave this field blank, the system runs the program for all price lines or buy lines, as indicated. Running the sync for all lines can slow down your system. We recommend that you always enter one or multiple price lines or buy lines in this field.

    Matching Indexes

    select one of the following processing and listing selections:

    • Include - Select and list all Eclipse products, whether or not they are synced to a PDW product.

    • Exclude - Select and list only Eclipse products that are not synced to PDW products.

    • Only - Select and list only Eclipse products that are synced to PDW products.

    Note: The PDW Key and Eclipse Dict fields must be populated before this field activates.

    PDW Key

    Enter the PDW metadata item to match the dictionary items against.

    Eclipse Dict

    Enter the dictionary item to use as the primary matching criteria. For example, enter UPC# as the primary matching criteria between PDW products and Eclipse products.

    Quick Sync

    Indicate if you want to run a quick sync:

    • Selected - Runs a quick sync, which does not display the search screen for products without matches.

    • Deselected- Runs a normal sync, which displays the search screen whenever it encounters a product for which it cannot find a match.

    Load Metadata

    Indicate if you want the PDW unique key to be written to the product file for the products.

    If you leave this deselected, the products are still synced, but the unique keys are not written to the product files.

  1. To schedule the sync to run off-hours or at another time, from the Options menu, select Quick Sync Schedule and complete the schedule information.

  2. Click Update.

Note: Depending on your parameters, this update to the table may take several minutes. We recommend using the Quick Sync Schedule to run off-hours for larger updates.

Field

Description

Product Dict

The value for the Eclipse dictionary item that you indicated in the Eclipse Dict field.

Product ID

The Eclipse internal product ID.

Product Description

The Eclipse product description as used in Product Maintenance.

PDW Key

The PDW metadata item to match the dictionary items against.

PDW ID

The PDW product ID.

PDW Description

The PDW product description.

Status

The sync status of the product:

  • Sync - Indicates the product has previously been synced to the PDW record.

  • New - Indicates the product matches a PDW record and can be synced to it.

  • Blank - If you leave this field blank, the product is not synced.

  1. From the File menu, select Sync to sync all items with the status of New.

  2. Exit the window without saving to abort the sync.

  1. From the Tools > Product Data Warehouse (PDW) > PDW Product File Sync > menu, select PDW/Eclipse Product File Sync Utility to display the PDW Sync Utility screen.

  2. In the Price Line field, select Price Line and do one of the following to run the Sync utility for one or more lines:

For...

Do this...

a single line

enter the price or buy line name for which to run the Sync utility.

multiple lines

use the Multi hot key to select the lines for which to run the Sync utility.

Note: If you leave this field blank, the system runs the program for all price lines or buy lines, as indicated. Running the sync for all lines can slow down your system. We recommend that you always enter one or multiple price lines or buy lines in this field.

  1. In the Quick Sync field, do one of the following:

  1. In the Load Meta Data to Eclipsefield,enter Y or N to indicate if you want the PDW unique key to be written to the product file for the products.

If you enter N, the products are still synced, but the unique keys are not written to the product files.

  1. In the Sort By field, press F10 and select how to sort the products displayed on the sync utility screen: Description, Catalog Number, UPC, or Part Number.

  1. In the Matching Indexes field, press F10 and select one of the following processing and listing selections:

  1. In the Eclipse Dict field, enter the dictionary item to use as the primary matching criteria.

For example, enter UPC# as the primary matching criteria between PDW products and Eclipse products.

  1. In the PDW Key field, enter the PDW metadata item to match the dictionary items against.

  2. Verify the syncing information in the following fields:

The Eclipse internal product ID.

Eclipse Description

The Eclipse product description as used in Product Maintenance.

PDW Description

The PDW product description.

Stat (Status)

The sync status of the product:

  • Sync - Indicates the product has previously been synced to the PDW record.

  • New -Indicates the product matches a PDW record and can be synced to it.

  • Blank - If you leave this field blank, the product is not synced.

Note: A Checking prompt displays at the top of the screen after you run the sync utility. This prompt indicates how many items the system checked in the price line and the percentage of the items that matched.

  1. Use the Sync hot key to sync all items with the status of New.

  2. Press F12 and enter Y at the Do You Wish to Abort prompt to exit the screen.

Note: To exit the PDW/Eclipse Product File Sync Utility screen at any time, press F12 and answer Y at the prompt. The Esc key does not function on this screen.
