Maintaining Mill Test Reports by Product

Use Mill Test Report Maintenance to review Mill Test Reports (MTR) by branch or territory for the selected product. Use this maintenance window to follow up on items that require MTRs, but for which you may have not received those documents. You can edit the MTR information and add or adjust the heat numbers, if needed. You can also drill into the purchase order for more information.

The Mill Test Report Maintenance results automatically filter the information by the most current heat number for the product based on the receiving date of a purchase order or the date it was manually entered through Mill Test Report Maintenance. The window displays the heat number, vendor, purchase order ID, receiving date, MTR sheet ID, and the MTR image for your review.

Use the Number Of Months To Display Product Heat Numbers control maintenance record to set the default number of days for which to display the queue results.

Use Purge Maintenance to clear your report documents from Mill Test Report Maintenance on a regular basis.

Note: You must be assigned the MTR.EDIT authorization key to edit information.

ClosedTo add new MTR information to a product:

  1. From the Maintenance menu, select Product to display Product Maintenance.

  2. In the Product field, enter the product for which you want to review MTR documents.

  3. From the Notes menu, select Mill Test Report Maintenance to display the maintenance window.

  4. From the File menu, select New Product MTR.

The system automatically assigned the MTR ID and populates the Product Description field.

  1. Use the Vendor field to select a vendor, if needed.

  2. In the Heat Number field, enter one or more heat numbers to apply to this product.

  3. Exit the window to return to the Mill Test Report Maintenance window.

ClosedTo review MTR documents for products:

  1. From the Maintenance menu, select Product to display Product Maintenance.

  2. In the Product field, enter the product for which you want to review MTR documents.

  3. From the Notes menu, select Mill Test Report Maintenance to display the maintenance window.

  4. In the Branch/Territory field, enter the branch or territory to narrow the results by branch. By default, the system displays all branches.

Note: The system alerts you if the product has no MTR documents attached for the selected branch or territory. Change your selection or enter All to return results.

  1. Use the Requires Mill Test Reports check box to automatically activate and select the Print MTR check box in Sales Order Entry when this product is added to a sales order and you select Print MTR in the header of the sales order.

  1. Use the Display As of Date field, to limit the queue results by receive date.

If there is a purchase order with the heat number the system uses the P/O Receiving date for the order as reference to display the results. If there is no purchase order, then the system uses the date on which the MTR was entered in the system.

Note: By default the system displays twelve months' worth of numbers, unless the Number Of Months To Display Product Heat Numbers control maintenance record is set differently.

  1. Click Update to populate the queue.

  2. Use the following columns to manage the MTR documents for the product:

Column

Description

Receive Branch

Displays the receiving branch for the items with MTRs attached.

Heat Number

The heat number entered on the purchase order or manually entered through this window.

Vendor

The vendor name as listed on the purchase order.

Purchase Order

The original purchase order number.

Use the Order menu to select View Purchase Order or Edit Purchase Order to adjust the purchase order, if needed.

You can also double-click the purchase order number to display the order in edit mode.

Receive Date

The date the material with heat numbers on the purchase order was received or the date the heat number was manually entered.

MTR Image

Link to the MTR document attached to the product.

MTR ID

The MTR Sheet ID on which the heat number was entered.

  1. To change an MTR document, or heat number, from the Edit menu, select Product MTR Information to display the Product MTR Information window. Heat numbers and MTR images display from the purchase order or from the product record when manually entered.

Note: To add a new heat number to the product record, from the File menu, select New Product MTR.

  1. Exit the window.
