Creating Return Purchase Orders

Return purchase orders are created as a new generation of the original purchase order. Use the Returned Goods Queue to create return purchase orders. The record of returned products is reviewed in the Returned Goods Queue.

Warranty orders or orders that cannot be credited to the customer until you receive credit from the vendor, should be processed as a direct shipment on a purchase order.

Note: The system checks the product file when printing. If any hazardous material is listed on the order, a HAZMAT sheet prints with the order.

To create a return purchase order:

  1. Display the Returned Goods Queue.

  2. Click the order that contains the items for which you want to return.

  3. In the Return-To field, enter the vendor to whom you are returning the ordered items.

  4. Use the Edit menu to do the following:

Edit > Return

Displays a prompt to enter the vendor to whom you want to return the items.

Edit > Return To

Displays a prompt to enter a branch to which you want to return the items. For more information, see Specifying a Branch for Returned Items.

Edit > Create Purchase Order

Creates a new purchase order for the vendor in the Return To column. You can combine multiple returned products on the same PO for each vendor.

Edit > Add To

Select an open purchase order on which to put the return item.

  1. Use the Edit Order menu, select Ship Dates and select new.

  2. In the New Required Date field, enter the date which the order is due to be returned.

  3. In the New Receive Date field, enter the current date.

  4. In the New Receive Branch field, enter the branch which should receive the material.

  5. In the New Ship Status field, type O and click OK to create the new generation.  

  6. The system displays a blank purchase order.

  7. In the Qty and Description fields, verify the negative product quantity and product.

Note:  If there is more than one price matrix associated with the product, the Vendor Matrix Cell Selection window displays. Place the cursor on the matrix cell you want to use and use the Use Cell Matrix hot key to make the selection. For more information see Creating Individual Matrix Cells.

  1. Save your order and exit the window.

  2. Use the Edit > Return Information option to display the Return Goods Verification window. Enter the details regarding the returned goods, such as restocking fees. The comments are added to the packing slip, such as the vendor's return goods authorization code.

The Return Goods Verification window displays in view-only mode, if the order is locked.

Note: If an RGA number is required, the system displays a warning message. You must be assigned the SOE.RGA.REQUIRED authorization key to process a return without the RGA number.

  1. Save your changes and exit the window.

Specifying a Branch for Returned Items

You can specify the branches that received the products when they are returned to inventory.  

To specify a branch for returned items:

  1. Display the Returned Goods Queue.

  2. Move the cursor to the items for which you want to specify a return branch.

  3. Use the Return to Br hot key.

  4. Enter the branch number and press Enter. The branch number displays in the Return To field.

  5. Press Enter to commit the returned item to that branch number.

  6. Press Esc to return to a blank Returned Good Queue window.

  7. Press Esc to return to the main menu.
