Editing Sales Order Details

After entering a sales order, you may need to review it or make changes to it. If the order is being picked or is now in a closed accounting period, the system may warn you about making changes, or prevent you from making changes altogether. If this happens, you can use the credit and rebill feature to make the necessary changes.

The following instructions describe how to locate an order and how to review or edit the order's details once you find it.

When opening an order, if you select an order that you already have open on your computer, the system notifies you: "You are already editing order: <order number>. Press OK to continue." After clicking OK, the system brings the order to the front.

If you try to open an order you already have open on another computer, the system prompts you to confirm that you want to run more than one session. After confirmation, the system notifies you: "Order <order number> is being edited by <UserID>."  To locate an order:

  1. From the Orders menu, select Sales Order Entry to display the Initial Order Entry window.

  2. In the Branch field, enter the branch where the order was entered.

  3. In the Customer/Order # field, enter all or part of the customer's name to display the Order Selection window. If a list of customers displays first, select the desired customer from the list and press Enter. Note: To search for a customer, use the Search feature (click ) and select the All Customers tab. If the customer does not display, use Ctrl-W to create a new customer.

  4. If the order was entered recently, scroll through the quick access list of recent orders to find it. With the order selected, press Enter.

Note: If the customer knows the purchase order number, look for it in the PO# column.

  1. If you do not find the order in the list of recent orders, do one of the following to locate the order:

In the Order Search window, enter search criteria in one or more fields and click OK to search for orders that match your criteria.

Bids

Scroll through the list of bids, and with the bid selected, press Enter.

A/R Items

Scroll through the list of invoiced orders, and with the order selected, press Enter.

Note: When entering customers with large numbers of transactions, a similar Fast Select Options window displays instead. You can select any of the following options from this window: New, Open Items, Search, Lot Bids, Bids, or A/R Items.

To review or edit sales order details:

  1. Open the sales order and display the order's Body tab.

  2. Review or edit the following Body tab fields, as needed:

Field

Description

Bill To

The address to which to send invoices. You can edit this information only in Customer Maintenance.

Ship To

The address to which to ship the products. You can edit this information by clicking the Edit button in the Ship-To area.

  1. Enter or delete products, as needed.

Note: When an item is deleted from a sales order and that item is currently on an open purchase order, you can set up the Notify Buyer When Canceled Item Is On An Open Purchase Ordercontrol maintenance record to notify the writer of the purchase order via a tracker.

  1. Change your Body tab view to review or edit other order information, as needed.

Note: Some column views require authorization to view.

  1. If you need to make general changes on the order's Header tab, select the Header tab and make any needed changes.

Note: Only some Header tab fields can be changed when an order is in a closed accounting period. With proper authorization, the following fields can be changed: Shipping Instructions, Internal Notes, Ordered by, Phone Number, Customer P/O #, Customer Rel #, and Batch ID.   1. If you need to change the order's shipping details, select the order's Status or Detail Scheduling tab.
