Reviewing the Status of Open Sales Orders

Warehouse workers use the Open Order Status Review Queue to verify which shipping tickets have printed. Sales personnel also use this queue to review the current status of orders. Accounting personnel use the queue to check which orders are on credit hold, but otherwise ready to print.

Orders are removed from this queue under the following conditions:

Use the Remove Orders from the OOSRQ When Print Status Changed Tocontrol maintenance to remove orders from this queue when the print status has changed to a specific print status. If you cannot locate an order in this queue and you are unsure if the order is in a print status which may remove it from the queue, you can check this control maintenance record.

Note: When your system comes online this control maintenance record defaults to either B or N for all branches.

To have sales orders that have tagged work orders display in this queue, you must have the Send Tagged Work Orders to Credit Reviewcontrol maintenance record set to Yes.

To display summary information for this queue at all times, add an Open Order Status Review Queue widget to your Solar Eclipse main window. For more information about widgets, see Widgets and Menu Shortcuts Overview.

To review the status of open orders:

  1. From the Orders > Queues menu, select Open Order Status Review Queue.

  2. In the Ship Branch field, specify the branch, or branches, whose orders you want to list.

  3. In the Select Items field, enter the Closedorder types to list, or select All:

    Status

    Description

    All

    Lists all orders.

    Printed

    Lists orders that should have printed, but have not been confirmed using this queue.

    Credit

    Lists orders that did not print because of a credit hold. Selecting this option enables the adjacent Credit Manager field.

    Export

    Lists orders that are expected to be exported out of country.

    Only users assigned the SOE.EXPORT.ALLOWED authorization key can manage these orders.

    Unavailable

    Lists orders that should ship, but cannot because products are unavailable. A sales manager or expediter should review these orders.

    Waiting

    Lists orders that are waiting for items or information to complete.

    Via Review

    Lists orders that are still under review.

Note: These are standard statuses installed with Eclipse. You can adjust status labels using the RF Valid Order In-Process Statuses control maintenance record. You can also select orders by an In-Process Status that your company has defined, such as PICKING, PACKING, or STAGING. These statuses are often used with radio-frequency (RF) barcode automation.

  1. If you used the Select Items field to select Credit problem orders, you can limit the listing by using the Credit Manager field to specify a credit manager or a credit message group. Also, if a message group named "Credit" exists, it is automatically notified when an order with a Credit status displays in the queue.

Note: In order to access the Credit Manager field, you must have previously toggled your view between the Picker and Credit Manager columns, as described below, at least one time.

  1. In the Price Branch field, specify the pricing branch, or branches, whose orders you want to list.

  2. Click the Update button to populate the queue with the orders you selected.

  3. Review the column information listed below. Some columns and column names vary, depending on how you have selected the orders you want to review.

Note: You can re-sort the queue by clicking on any column heading.

customer name.

S (Order Status)

order status, such as Invoice or Ship When Specified.

Date

date the order's current status began.

Time

time the order's current status began.

Status

the order's current status within the system, such as Hold, Printed, or an In-Process Status, such as PACKING.

Via

the order's current ship via.

Order Total

total amount of order.

Picker*

any order picker assigned.

Credit Manager*

the credit manager assigned to the order.

Credit Hold Reason

the credit reason the order is in a Hold status based on the parameters defined in the Credit Limit settings in the Credit Control Parameters window off the Customer Maintenance file or in Authorized Personnel window, such as Past Due Limit Exceeded, Credit Limit Exceeded, or Customer Order Limit Exceeded.

* To toggle your view between the Picker and Credit Manager columns, click the magnifying glass icon adjacent to this column. If the Select Items field is set to Credit in the Open Order Status Review Queue widget, and you open the queue from the widget, the Credit Manager column displays, otherwise the Picker column displays.

Note:Via Review orders are treated the same as credit holds and are not removed from the queue. Do not use with RF.

reprint a lost or damaged shipping document

Order > Reprint

release the hold on the order, so it can be printed

Order > Release Hold

You must be authorized to release a credit hold. If releasing an Unavailable Product hold, you must be authorized to over-commit inventory. Procurement items on credit hold are handled in the same manner as direct orders.

Note: If you are prompted to change the ship date to the current date, click Yes to change the date; click No to leave the date as is.

clear the selected hold order from the queue

Order > Clear Hold

Unless the order is edited or circumstances change, the order reappears in the queue the next time. Procurement items on credit hold are handled in the same manner as direct orders.

perform a credit override or deny credit

Order > Credit Override

Managers can do an A/R Inquiry and then release the selected order's credit hold by specifying a Credit Override Amount.

view the picking status of this order

Order > Picking Confirmation

open the selected order for viewing

Order > View Order

open the selected order for editing

Order > Edit Order

access A/R inquiry for more information about the order
